Terms and Conditions at AG Martial Arts

 

Advanced Grading

1. Non-refundable Fees: By making payment and attending the advanced grading session, students acknowledge that the fee is non-refundable, regardless of the outcome. 

2. Notification of Results: Parents or guardians will be informed of grading results via a telephone call, especially in cases of failure. 

3. Late Fee Policy: Payments made less than two weeks prior to the grading date may incur a late fee. 

4. Punctuality Requirement: Arriving more than 5 minutes late will result in automatic failure. 

5. Uniform Requirement: Students must wear the official AG Martial Arts uniform for grading; failure to do so will result in automatic failure. 

6. Announcement of Results: Grading results may be announced up to one month after the session. 

7. Grading Discretion: The examiners have full discretion regarding the details of grading results; AG Martial Arts is not obliged to provide detailed feedback. 

8. No Objection Clause: The decision of the examiners is final and non-negotiable. 

9. Disclosure of Pre-existing Injuries: Students must inform instructors of any pre-existing injuries prior to participating in grading. 

10. Acknowledgement of Risks: Students recognize the inherent risks of injury in martial arts. 

11. Liability for Injuries: AG Martial Arts is not liable for injuries sustained during grading not caused by the club’s negligence. 

12. Emergency Procedures: Established emergency procedures will be followed in the event of an injury. 

13. Behaviour and Conduct: High standards of behaviour and conduct are expected; misconduct may lead to disqualification. 

14. Adherence to Instructions: Students must follow all instructions given by examiners during grading. 

15. Right to Modify Terms: AG Martial Arts reserves the right to modify these terms and conditions, with changes communicated in a timely manner.

 

Data Protection

1. Collection of Personal Data AG Martial Arts collects personal data from its members and participants, including but not limited to names, contact information, and health-related data. This collection is necessary for the effective management of our members, communication purposes, emergency contact requirements, and other related activities. 

2. Purpose and Use of Data The personal data collected is used for various purposes such as membership management, marketing communications, and maintaining emergency contact details. The club is committed to using this data responsibly and only for the purposes for which it was collected.

3. Data Sharing and Disclosure Personal data is shared only with our direct debit provider, who manages this information on our behalf. This provider is also committed to data protection and privacy in line with GDPR standards. No other third-party sharing of data is conducted without explicit consent from the members unless required by law. 

4. Data Storage and Security The data is stored in GDPR-compliant software systems that ensure the security and integrity of the data. AG Martial Arts takes reasonable steps to protect personal information from loss, misuse, unauthorized access, disclosure, alteration, or destruction. 

5. Members’ Rights over Data Members have the right to access, update, or request the deletion of their personal data. Requests for accessing personal data or altering it can be made through official communication channels of AG Martial Arts. 

6. Consent and Acknowledgement By filling out membership forms and agreeing to these Terms and Conditions, members consent to the collection and use of their personal data as outlined here. Members acknowledge that they have been directed to these Terms and Conditions and accept them as part of their association with AG Martial Arts. 

7. GDPR ComplianceAG Martial Arts is committed to complying with the General Data Protection Regulation (GDPR). This includes, but is not limited to, ensuring lawful processing of personal data, implementing appropriate security measures, and upholding the rights of individuals in regards to their personal data.

 

Refunds Policy

1. Membership Cancellation and Refund Conditions:• Members can cancel their membership at any time; however, cancellations take effect at the end of the current month. • Requests for refunds must be made via email, and members are eligible for a refund of unused sessions for all future dates from the date of the email request. • Refunds are not available for past dates where the member did not attend and did not request a refund.

2. Event-Related Refunds:• All bookings for events such as gradings, advanced gradings, and tournaments are non-refundable. • Exceptions are made if a member is booked for an event but is subsequently informed that they are not ready for participation. In such cases, a full refund will be provided.

3. Refunds for Class Packages:• Class packages or bulk session purchases are non-refundable but are transferable. • If a member is ill and unable to attend a session, they may make up for the missed session by attending other classes.

4. Processing of Refunds:• Once a refund is approved, it will be processed within 7 working days.

5. Method of Refund:• Refunds will be issued through the same payment method used for the original transaction.

6. Discretionary Refunds: • All refunds are subject to the discretion of AG Martial Arts. • The club reserves the right to make exceptions in extraordinary circumstances.

 

Sparring

1. Equipment Requirements:

  • Participants must wear the mandatory equipment for sparring, including headgear, gloves, foot pads, shin pads, and a groin guard where applicable.
  • All equipment must meet a specified standard of quality and safety, as advised by the instructors.

2. Communication of Requirements:

  • Equipment requirements and any other sparring-related instructions will be communicated to participants via online channels (text, WhatsApp, etc.) for record-keeping and clarity.

3. Safety and Supervision:

  • Sparring sessions will always be supervised by a qualified instructor.
  • Instructors present will have first aid training and are responsible for intervening if sparring becomes excessively forceful.
  • Parents are encouraged to observe sparring sessions, especially during the first month of their child’s participation, to ensure comfort and safety.

4. Participation Criteria:

  • Participants must have been training for a minimum of six months before engaging in sparring.
  • Sparring intensity is subject to mutual agreement between the student and the instructor, tailored to the student’s comfort and skill level.

5. Insurance and Liability:

  • All students participating in sparring sessions are covered by the club’s insurance.
  • By participating in sparring, members assume a level of liability for any damages caused during the activity.
  • Members not adhering to safety and equipment guidelines will receive a warning and may be restricted from future sparring sessions.

6. Equipment and Safety Non-Compliance:

  • Non-compliance with equipment and safety requirements will result in immediate corrective action, which may include temporary suspension from sparring activities.
 
 

 

Terms and Conditions for 1-Month Class Launch Offer at AG Martial Arts

 

1. Introduction

These terms and conditions apply to the 1-month class launch offer (“Offer”) provided by AG Martial Arts at our new location. By participating in this Offer, you agree to be bound by these terms and conditions.

2. Offer Details

  • The Offer allows you to attend unlimited classes at our new location for a duration of one month from the date of your first class.

  • The Offer is available for a fixed fee, payable in advance.

  • The specific classes available under this Offer are subject to our class schedule, which may change from time to time.

3. Eligibility

  • This Offer is available to new and existing students of AG Martial Arts.

  • Participants must be of suitable age and fitness level for the classes they wish to attend, as determined by AG Martial Arts.

4. Payment

  • The fee for the Offer must be paid in full before the commencement of the first class.

  • The fee is non-refundable and non-transferable.

5. Attendance

  • Participants are encouraged to attend classes regularly to make the most of the Offer.

  • In the event of missed classes, no extensions or refunds will be provided.

6. Health and Safety

  • Participants must comply with all health and safety guidelines as provided by AG Martial Arts.

  • It is the responsibility of the participant to inform instructors of any health issues or concerns that may affect their training.

7. Conduct

  • Participants are expected to conduct themselves in a respectful and disciplined manner at all times.

  • AG Martial Arts reserves the right to refuse participation or revoke the Offer for any participant deemed to be behaving inappropriately.

8. Limitation of Liability

  • AG Martial Arts is not liable for any personal injury, loss, or damage to personal property incurred while participating in the Offer.

  • Participants engage in all activities at their own risk.

9. Changes to Terms and Conditions

  • AG Martial Arts reserves the right to modify these terms and conditions without prior notice.

10. Acceptance of Terms

 

  • Participation in the Offer constitutes acceptance of these terms and conditions.
